In a legal landscape where 80% of firms are now adopting AI to gain a competitive edge, this respected law firm faced a common but critical bottleneck that was hampering productivity. The firm’s team of five legal assistants and four lawyers was spending countless hours each day on two low-value, high-volume operational drains:    

  • Email Overload: Hundreds of incoming emails had to be manually read, renamed according to strict firm conventions, and filed into their Smokeball practice management system. This process was not only tedious but also prone to human error, creating compliance risks.  

  • Tedious Note-Taking: Capturing accurate file notes from client calls and meetings involved time-consuming manual dictation, costly external typist services, or lawyers typing their own notes—diverting their focus from high-value, billable work.

The Blue Seas AI Solution: A Dual-Agent System for Autonomous Administration

As part of our ongoing partnership, we designed and deployed two distinct but complementary Agentic AI systems to function as an autonomous administrative layer for the firm:    

  1. Automated Email Management System: This AI agent continuously scans all incoming emails. It uses natural language processing to intelligently classify the content, automatically renames the files according to the firm’s standardized convention, and files them into the correct client matter within their practice management system.  

  2. AI VoIP & Transcription System: We developed a custom web application that automatically records and transcribes all client interactions, including VoIP calls, video conferences, and in-person meetings. It then generates a concise AI summary with key actions and a draft client letter. This is automatically saved into the CRM (Smokeball).
